Sometimes leads aren't a good fit for your organization, and sometimes they aren't a good fit to become a foster family in general. Every Child Arkansas has developed two ways to handle these leads in the portal when you need to move a lead out of the certification journey.
JUMP TO:
- When a lead isn't a good fit for your organization
- When a lead isn't a good fit to be a foster parent in general
When a lead isn't a good fit for your organization:
Sometimes organizations will receive leads that end up not being a great fit for them. Reasons for this might include:
- The organization only certifies families serving children at a certain level of need, and the family isn't willing to serve kids with more complex needs.
- The organization may require a family to sign a statement of faith, and the family isn't willing to do that.
- The organization may have training requirements that the family is unable to fulfill
- etc.
These families might make a GREAT match for another organization in the Every Child Arkansas network!
To pass this lead off to another organization in the Every Child Arkansas network (and remove them from your portal view):
Step 1: Login to the portal, go to Leads > Ready Now Leads or Leads > Volunteer Leads
Step 2: Select the record you are wanting to reassign back to Every Child Arkansas
Step 3: Once in the record detail view for that lead, click the button “Reassign”.
Step 4: A modal will pop up asking you to select a reassignment reason, and offering an open text field where you can include notes about why you think this lead might be better matched with another Every Child Arkansas organization. Click "save changes" when you are done.
The lead will be removed from your portal view and sent back to the Every Child Arkansas CX team for review and reassignment to another organization if appropriate.
When a lead isn't a good fit to be a foster parent in general:
Sometimes organizations will receive leads that end up not being a great fit to become a foster parent at all. An example reason for this might be that they are unable to pass a background check.
These families should not be passed back to the Every Child Arkansas CX team for reassignment, but instead need to be closed.
To close this lead (and move them to the "CLOSED" tab in your portal view):
Step 1: Login to the portal, go to Leads > Ready Now Leads or Leads > Volunteer Leads
Step 2: Select the record you are wanting to close
Step 3: Once in the record detail view for that lead, scroll down to the bottom of the lead timeline section to find the "Inquiry Closed Date" field. Enter the date you closed the inquiry.
Adding a date to this field on any record will move the record from the "In-Progress" table to the "Closed" table. You can always access the record again by going to the "Closed" table and opening it up there.
In some cases, a lead might ask to stop the certification process. If this happens, you can add a date to the "withdrawal" field on the lead timeline section. This will also move the lead to the "Closed" tab, but will better distinguish between the individual withdrawing or your organization determining they should be closed.
